Before You Begin: Have These Ready
The new hire form takes about 10 minutes. Grab these before you start so you don't have to stop partway through:
- Everyone needs a clear headshot for their staff account photo. If you teach or provide a service (instructors, coaches, massage therapists, estheticians), also have your proof of active Professional Liability Insurance to upload, plus a short bio and a few photos ready so we can promote your expertise on Walla. You can attach them to the form, or email any additional marketing photos to manager@islandmovementstx.com.
- Your start date and the email address you want us to use for your Walla staff account and where you will receive your paystubs.

Complete Your New Hire Form Required
This is your first step. Fill out the form to give us your personal info, position, and a headshot for your account photo. If you teach or provide a service, you'll also add a short bio and a few photos so we can promote your expertise. We use this to set up your Walla staff account and get you on the schedule.

Complete Your Tax Paperwork Required
The process depends on whether you're a W-2 employee or a 1099 contractor. Your manager will let you know which applies. Follow the path for your type below.
If you're a W-2 Employee
Step 1. Get the form. Download the current year W-4 from the IRS: irs.gov/pub/irs-pdf/fw4.pdf
Step 2. Fill it out whichever way is easiest: complete and print it ahead of time, print a copy and fill it in by hand, or do it in person on your first day (we have a printer onsite you are welcome to use).
Step 3. Sign it and hand it to your manager in person on your first day.
If you're a 1099 Contractor
As a 1099 contractor, your W-9 is completed through Melio, our payroll system. Once your account is set up, you'll receive a secure email from Melio with a link to complete your W-9 and set up your direct deposit, all in one place. Open the link and follow the steps.

Register for the Staff Portal & Walla Required
You'll have access to two systems. The Staff Portal is for training videos, SOPs, pricing, and scripts. Walla is the studio software you'll use every shift to clock in, view rosters, and check in clients. One you'll set up yourself, the other your manager sets up for you.
Staff Portal, Self-Service
As soon as you've submitted your new hire form in Step 1, go register for the Staff Portal. Doing this now means you can start the videos and pre-reading right away.
Step 1. Go to islandmovementstx.com/staff-portal
Step 2. Click Sign Up. Use the same email you used on your new hire form.
Step 3. Once registered, you'll have immediate access to the /staff site and all training materials.
Walla, Your Manager Sets This Up
Your manager will create your Walla account, usually within 1 business day of your new hire form being submitted. You don't need to do anything until you hear from Walla directly.
Step 1. Watch your inbox for a "Welcome to Walla" email.
Step 2. Open the email and click the link to create your password.
Step 3. Sign in to Walla for the first time. This is the software you'll use every shift to clock in, view rosters, and check clients in.

Payroll & Pay Schedule
When you'll be paid
Pay periods close on Friday. Your pay is sent by direct deposit (ACH), which takes up to 3 business days to clear. You can expect your deposit to land in your account by the Friday after the pay period closes.
Example: a pay period that closes Friday, June 19 pays out by Friday, June 26.
If you do not see your deposit by that Friday, reach out to manager@islandmovementstx.com and we will track it down.
Getting set up for direct deposit
- After you submit your new hire form, we set up your accounts.
- You'll receive an email from Melio, our payroll system.
- Open the email and click the secure link.
- Enter your direct deposit details on the secure page. That's all we need to pay you.
Required Viewing
Wellness Coordinators OnlyThe rest of this onboarding (Required Viewing, Pre-Reading, and clock-in instructions) applies to Wellness Coordinators only. If you're in a different role, your manager will direct you to the right training.
Watch both videos before your first day of training. They cover the Walla software you will use every shift. Chapters marked SKIP are management-only, you do not need to learn those parts.

Review the Staff SOPs (Standard Operating Procedures) Required
What's an SOP? An SOP, or Standard Operating Procedure, is our documented, step-by-step way of doing a specific task at the studio, things like checking a client in, creating a new profile, processing a membership, or handling an instructor no-show. SOPs exist so that every shift runs the same high-quality way no matter who is on duty, so you always know exactly what to do, and so we can keep improving our process over time. You will see SOPs referenced everywhere in our training and on the floor; when in doubt, look up the SOP.
Read through the Week 1 SOPs before your first shift. Focus on SOP-02 (Logging In), SOP-03 (Shift Hours & Opening Prep), SOP-05 (First-Timer Greeting), SOP-06 (Creating a New Client Profile), and SOP-07 (Client Check-In). You will be expected to know these on day one.

Review the Staff Pricing Guide Required
Familiarize yourself with our membership tiers, drop-in rates, intro offer pricing, Elements add-on, and key card deposit. You will be expected to quote these accurately from day one.
